Features

ProCarrier can manage the billing and delivery of newspapers for one or more routes. There is no practical limit to the number of customers or routes the program can manage.

The program automatically calculates rate charges and hold credits for each billing period based on rate codes you create. You can create numerous rate codes to handle most any billing method whether you bill on a daily or flat rate basis.

Following is a partial list of program features:

New Grids

The main customer grid uses a new display format:  
  • Select a Route. Click the right mouse button to change the content of the grid to a different route of customers.  Also, click on any column header to change the sort order of the grid.
  • Search. There is a new and powerful incremental search feature that lets you locate any customer by almost any search criteria: name, address, phone number, etc.
  • Column Order/Width. You can change the column widths and the order in which columns appear.  Move your most important columns of information to the left of the grid.  Move less important columns to the right.
New Customer Edit Form

The customer edit form has been changed to a new format.  You can now add a detailed customer note and a detailed delivery note that will be used on the new delivery list report.  Also, try to include a customer's email address because the program now includes the ability to send email messages to customers.  

The street name, city name, state and zip code entry boxes use a 'QuickBooks-style' autofill feature that completes the data entry as you type.  You should never enter the same name more than once.

Invoice Printing

This feature has been completely re-written to show a preview of all invoices ready for printing.  The grid cursor scrolls through the display of all invoices as the printing is in process.  You can pause and resume printing as you choose and the new customer select option gives you more control over the invoice setup.

Invoice printing as pages, envelopes or labels can now be done in reverse order.  Press Ctrl+F to "flip" or toggle the printing order between ascending and descending. 

The same method used for printing invoices is now used for printing envelopes and labels. 

Letters/Emails

You can now build as many form letter templates as you need using the customer substitution keys.  Letters can be displayed in the following ways:

  • Preview or print the letter as in previous program versions.
  • Export the letter to MS-Word or Windows WordPad as a rich text document.  You can edit the document as needed and depending on which program you are using you can either print, fax or email the document.
  • Export the letter directly to the MS-Outlook Outbox as a email using plain text format.
  • Export the letter directly to the MS-Outlook Outbox as an email using Html format.  This feature lets you use the full power of Html to create the effect you want using tables, colors and different fonts and font styles.  Use an html editor like MS-FrontPage to build your email message then paste it into the ProCarrier text editor.

Please note.  Substitution keys have been changed from using brackets <> to the percent sign.  So you need to change all form letter substitution keys from <f_name> to %f_name%.  This is easily done with the new text editor that has a search/replace option.

The user guide contains sample letters and emails you can copy and paste into the ProCarrier text editor.

Quick Payments

This features improves on the existing batch input of payments.  You can enter one or many individual payments based on the customer's name.  Verify your payment entries then quickly update the customer records.  This option will likely replace the existing feature "Batch input of payments".  

Auto Backups

Prior to closing the billing period, the program automatically backs up all data files.  In the event that you made a billing mistake, you can always restore your data files to the same state that existed prior to closing the billing period in order to make a correction. 

Also, auto-backups are done prior to processing:

  • invoices
  • batch input of payments
  • quick payments/collections

As a result, if there are any mistakes during one of these processes, you can easily restore your data files to the same state that existed prior to running this process just by using the built in ProCarrier "Restore" option on the Utility Menu.

User Requests

Following are requests received from registered users of ProCarrier Series 100 that we have implemented.  Please forward your own requests so we can add to the list as we continue to develop ProCarrier Series 200:

  • Print invoices on envelopes and allow for the printing of all envelopes at once instead of one envelop at a time.
  • The letter and label setups now include six lines for the "return" and "send to" address sections.  If you are using envelopes or labels as invoices this additional line provides more formatting possibilities.  When printing labels you may want to use a smaller font so all six lines fit on the label.
  • Automatic backup of data files.

Documentation

This release of ProCarrier is fully electronic.  The program can be downloaded from the website and the program user guide is available to registered users only in the form of a PDF file.  

PDF files can be viewed and printed using the free Adobe Acrobat Reader which can be downloaded from the Adobe website, here.   The PDF version of the manual makes an excellent printed user guide should you choose to make a printed copy. 

Export to MS-Excel

You can choose to export your ProCarrier data to spreadsheet files compatible with MS-ExcelŽ.

For example, you can export your customer lists, current charges and payments, customer histories and expenses to pre-formatted spreadsheet files containing titles, column headers and formulas to sum column totals. Next use the full power of your spreadsheet program to review your data or sort, graph and create new subtotals as needed.
